Bulk file checking

Fix your customer and supplier files in bulk

Upload the export from your ERP, invoicing software or CRM. TierSafe checks every record against reference sources, suggests corrections and gives you back your corrected file, in the same format, ready to re-import.

The problem

Checking record by record does not scale to a whole file

Checking a party by hand means opening the Annuaire des Entreprises, then VIES, then the e-invoicing directory, and copying what you find. A few minutes per record. For a file of 2,000 customers, that is weeks of work, with copying errors on top.

And some errors cannot be seen on a single record: the same IBAN used by two suppliers, the same SIRET under two company names, a VAT number attached to the wrong SIREN. Only cross-checking the whole file brings them to light.

The checks

What TierSafe checks on every record

Every check relies on a reference source: the SIRENE register, VIES, the National Address Base, the e-invoicing directory and the official list of approved platforms.

Identity: SIREN and SIRET

Matched against the SIRENE register, check digits, closed establishments and ceased companies. Damaged numbers are repaired where possible (leading zero lost in Excel, truncated SIRET), and the company is found by name when the identifier is missing.

Intra-EU VAT number

Check key recomputed from the SIREN, consistency between the number and the company, and confirmation with VIES when the number's activity is uncertain.

Postal address

Validated and normalised against the National Address Base: street, postcode, town. An address that differs from the establishment's is flagged.

Bank details

Format, length and check digits of each IBAN, BIC format, country consistency between IBAN, BIC and VAT, French BIC unknown to the institutions register.

Electronic invoicing

When your file contains them: routing identifier, the customer's presence in the directory, approved platform compared with the official list and with the one actually receiving.

File consistency

Same SIRET under different names or addresses, same IBAN for different companies, same VAT number under two SIRENs. Insolvency proceedings published in the BODACC are flagged for information.

How it works

From your export to a clean file

  1. UploadCSV, Excel (XLSX) or JSON, up to 20 MB. Delimiter and encoding are detected: the raw export from your software is enough.
  2. Map the columnsTierSafe recognises common headers, you confirm what each column contains.
  3. Analyse and decideEach record gets a diagnosis and, where possible, a correction. You validate, apply or dismiss, record by record.
  4. ExportYour original file, same columns and same format, with the validated corrections or all of them. Or a corrected CSV, a PDF report and an interactive report.

Allow from 20 seconds for 500 records to a quarter of an hour for 15,000. The analysis runs in the background: you can close the page, an email lets you know when it is done.

In practice

What comes out of a real file

A few of the most common anomalies, and what TierSafe does with them.

  • 8-digit SIREN, leading zero lost when opened in Excel: number completed and verified
  • SIRET of a closed establishment: up-to-date SIRET suggested
  • Abbreviated or misspelt company name: official name suggested
  • Incomplete or mistyped address: normalised address suggested
  • VAT number whose check key does not match the SIREN: anomaly flagged
  • Same IBAN for two different suppliers: records flagged for review
  • Routing identifier that leads to no platform: correct address suggested when known

Frequently asked questions

Questions about file checking

Which files can I import?

A CSV, Excel (XLSX) or JSON file, up to 20 MB, exported from your ERP, invoicing software or CRM, or provided by your accountant. Delimiter and encoding are detected automatically, and you map the columns before the analysis.

Do I need a SIREN or SIRET on every line?

No. When the identifier is missing or unusable, TierSafe searches the SIRENE register by company name and suggests the identifier it finds, for you to validate.

Is my original file modified?

No. TierSafe works on a copy: your original file remains downloadable as is, and the corrected file keeps its columns and format so it can be re-imported directly.

How much does checking a file cost?

One credit per record, with no compulsory subscription and no expiry, from 20 € excl. VAT for 100 records. Your first import is free: you see the share of records to correct in your file, and the detail of its 10 riskiest records, before paying anything.

How long does the analysis take?

It depends on the size of the file and on how many VAT numbers need confirming with VIES. The analysis runs in the background: you can close the page, an email lets you know as soon as it is done.

Is my data protected?

Your files are used only for the check, are never sold or combined for other purposes, and are hosted in France, by OVHcloud in Roubaix and by ARDNTECH in the Ardennes. You can delete them at any time from your account.

I am a chartered accountant: can I check my clients' files?

Yes. For your clients' files, TierSafe acts as your firm's processor under the GDPR, and a data processing agreement is provided on request. Files are used only for the checks and are never sold; you hand your client the corrected file and the PDF report. To follow several clients, write to us.
